Mom Did Know Best: Clean it up!

It has to happen every once in a while and this is the perfect time of year to face it. I’m talking about cleaning up your list.

This realization came crashing down on a client recently and it just serves to remind me that it is one of the last things busy small business owners are thinking about, but it is just so important.

Is your list a mess?
This client wanted to establish a monthly email newsletter. One of the steps was uploading the CSV
file of his list into the app. When the CSV file arrived and my team and I took a look at it, we immediately realized that there was a lot of work to do before it could ever be uploaded.

First off, information had been entered into the wrong fields and we had first names like Quick and surnames like Order. Then there were company names entered where the contact’s name should have been. That was just the beginning. After reviewing the file, there were lots of other changes like who the contact for the company was now and outdated email addresses.

Hey, don’t beat yourself up because there are always changes and mistakes, it’s inevitable that your list needs to be cleaned up, sorted out and purged of all sorts of inaccurate information. But the thing you have to keep in mind is that your list of contacts is one of the most valuable assets you have in your business. So you need to keep it polished up and in good working order.

Make an update part of your regular maintenance.
The end of the year is a busy time and part of the busy-ness is sending “thank you for your business this year” greetings to your clients. Take this opportunity to review your list. Make it part of the process in sending those greetings. Schedule it for fall. That gives you time to actually remove any problem entries as well as request new, updated data.

In some instances, the email contact may be the only information you have. Sending out requests for actual postal mailing addresses via email will help you sift through outdated emails as well as provide an extra touch with the client and get more information from them.

AND, while you are doing that, remind yourself of all the contacts and potential clients that you haven’t connected with for some time. Out of mind means just that – out of mind, and out of mind means a big NO SALE on the cash register.

So cleaning up is not just cleaning up, but use it for bringing to mind potential clients that need a note, call or some other bit of communication from you. Use it to re-connect and update your records. The biggest benefit is that you are ready for a big push in the New Year.

Holiday Email Marketing Tips

Have you started sending holiday emails yet? If not, what are you waiting for? Holidays are that time of year when people shop the most, and chances are that your small biz can benefit greatly from that. Successful email marketing is an amazing tool to reach out to your target audience and turn them into buying cust0mers.


If done right, that is.

If you’re sending emails just to send them, it won’t yield the results you need.


If you really want to impress them, stick to these holiday email marketing tips:

Plan in advance

A good marketing strategy is the first (and perhaps the only) thing you need to generate sales. A large number of marketers who know how to make a killer email holiday campaign start planning as early as August. But it’s not late now either.

Email marketing should be at your to-do list if you want results. There is no excuse – make a plan and stick to it. Let’s take a look at some of the tips on how to grab the attention of your target audience through holiday emails:

Focus on mobile

The first practical advice is to focus on mobile, and for a good reason. More and more people are checking on their mail and viewing it from the mobile devices. To put things into perspective, it has been reported that in 2014 that more that 50% traffic was mobile during holiday seasons. Below are a few tips on how to make sure that your emails are mobile-friendly:

Use an email template that is mobile-optimized

Keep it short and snappy

Three sentences on your computer may look like 6 sentences on your mobile device. So, make sure there isn’t too much text, otherwise people won’t even bother to read it. You emails need to be catchy and a bit personal, something people can relate to. Something short but powerful that will make them want to know more. 

Make it simple

The best email promotions are simple with a clear layout. If you have too many colors or use 5 different types of front people may get distracted from the main goal. And that is – to take some kind of action. 

Run a social media promotion

Prior to actually creating an email campaign, run a promotion on Facebook, Instagram etc. If you want your customers to respond to your holiday emails, first you have to remind them of who you are. Just to get their attention. So that when they receive an email from you, they’ll know who you are and they will be more likely to take action.  

Make them engage with you on social media. Engagement is the best way to get closer to you customers and stay on top of their mind. Run a holiday photo contest to make your followers engage. Alternatively, offer buy-one-get-one-free promotions to spur engagement. 

Use proper CTA

A call-to-action is supposed to make people buy something, so you need to make it catchy and simple. For an eye-catching call-to-action you can visually emphasize it. Also, you don’t have to use CTA just once – use it several time throughout your email.

The paradox of choice – stick to one

If you want to lead your potential customers to one single action, make sure you lead them with one single thought in mind. Even though you may have several products you’d like to offer, stick to just one, or to several relatable ones. You need to hack into the psychology of a buyer’s mind. Sometimes less is more, and in this case it seems to be truer than ever. People get easily confused if they need to choose between several things. 

Pay attention to the subject line

Last but not the least – make a killer subject line. Since the subject line is the first thing people see when they get a new email it’s worth investing some thought into it. How many times did you not open an email because of a crappy boring headline? Probably more often than you can remember. The same goes for your subscribers. If it doesn’t spark their interest, they won’t open it. There will be so many emails anyway, why would they waste time on reading yours? Because you have to offer them something others can’t. So express that in your subject line. You can do that by asking a question – questions resonate well with customers. And, of course, add some holiday spirit to it!

Status Quo Requires No Leadership

It may seem saying, “Status Quo Requires No Leadership” is pretty radical, but when you really look at how the business environment is, and always has been, it’s not radical at all.

Some businesses feel that things are just fine, they are making enough to pay the bills, don’t have to work TOO hard and days go by relatively pleasantly. But is that what owning a business is all about? Is “just getting by” all you wanted when you made that first sale?

Just about every SBO I talk with wants MORE – more clients, more sales, more challenge, more profits more, more, more. Once they achieve one goal, they set another. It’s not all about money, although money is a measurement of where you are and where you want to go.

When you want more, as I see in my coaching and with participants in the Grow Your Business Masterminds, the inevitable is change. And if change is the password, learning is the key to the lock. The lock is held firmly in the hands of the leader.

Not only does a leader have to help set direction, but also facilitate the path. The greatest leaders pull in all their resources to develop a plan to address all the changing conditions and ripples caused by shifting sands and new pebbles thrown into the mix. A CRM Might Just Save Your Business

This has been a really trying week here in our office. You see, we have had our website hacked. And we have been frantically trying to get it fixed. You might think that is because we don’t want to miss any potential clients, and it is. But even more important to us is that we don’t want to share any viruses or any bad digital thread with any of our existing clients and contacts.

And, we have several programs with open registrations, blog posts and other bits of information out on social media and in email communications that link back to our site.

Now, you might wonder why I am telling you all of this. Well, we have figured out the protocol for when bad things happen and we have to notify our clients urgently. We know we can’t just stand at our office door and yell out into the street. We have to be effective!

When it’s urgent to reach your tribe…be smart and use your CRM

It’s your CRM. Yes, once again a CRM is key to making business work. With all your contacts in a CRM like AddressTwo, you can very quickly send out an urgent message and reach as many people as possible. With a subject line that lets them know there’s a problem and you have an important message, your open rate (ours did) will soar.

This solution is not limited to letting people know your website is down – or is dangerous to their digital health – but also any time there is a problem, great news, or important information they need.

If you are making regular touches through a weekly email or monthly digital newsletter, your contacts expect to hear from you and your subject line should let them know you are sending a message for them. But when these random important communications go out, you have to let them know there is a special event, reason or warning that you are sending and your subject line is the place to do that.

Of course, you can put the information out in your social media, but social media connections are sporadic. The latest statistic I’ve heard is the only 7-10% of your fans see your posts on Facebook and tweets are swallowed in a blink of the eye. So using your email list makes sense. It’s fast, effective and easy.

The case for a contact list in a CRM

Sure you have contacts in your email and you may even have groups set up for emails, too. But building a contact and client list in a CRMmakes life really easy. You will recognize that when you have an urgent need. And the beauty is that it grows right along with your business. It’s not a fill it in and then continually have to update. No, you build it one person, one contact, one client at a time and before you know it, you have a herd, or a tribe, whichever way you want to think about it.

Choose the technology app that serves you best and can grow with you. Choose one and use it. Don’t get caught out with new somethings that are bright and shiny. Stick with one until it no longer serves your purposes. Learn all the features and utilize every tool inside it.

You’ll find your day-to-day operations and those random, urgent situations can both be handled quickly, easily and professionally.

Make Your Opinions Matter - and Work for You

Everyone has opinions, don’t they? Some you agree with, some might make you angry and others have you saying, “Well, yeah, that’s right!”

just be sure to handle them correctly.

Opinions are read. Have you ever noticed that? And when someone voices an opinion that touches you – whether in strong agreement or strong opposition – you REALLY read it, and then you share it and talk about it with others. You might even send someone a link or a copy of the piece.

This all has a point, especially for small business owners. Opinion pieces and letters to the editor are a great way to get some PR. Besides getting something off your chest, you get your name and your business out into the public eye, too.

And, the real bonus is that you never know who will take an interest and where that piece will go!

Case in point:

Recently a small business owner was expressing an opinion about a small business statistic here in Indiana. He was emotional about it – offended and frustrated. Since I know him quite well, I took the liberty of penning a letter to the editor and sent it to him with the suggestion that it be submitted to several local media outlets.

He agreed so I polished it with finishing touches and off it went. Several publications picked it up and it appeared in print and online.

Over the next several days, he received quite a number of phone calls, emails and comments about it. He was surprised, pleasantly, by the attention. But the most significant result was a call that landed a new client and project.

And it was all because he expressed an opinion that resonated with the community. He took a position and staked a claim.

Expand the reach

There’s more you can do with a published letter to the editor or opinion piece. If you have a mailing list, you have the opportunity to share the published piece with your herd. Use your CRM like AddressTwo to send out an email blast sharing the piece. You can either share the letter or, better yet, share a link to the piece (if it’s online) or in your “In The News” page on your website.

Which illuminates another point. Add the letter to your website with a comment – or an invitation to participate in a dialog. With a static link on your website, you can include the link in your social media editorial calendar for as much or as long as you want.

Do you have an opinion?

Of course you do, we all do. But I want to caution you that this PR opportunity is NOT the place to spout. It is the chance to bring an issue to light and (HERE IS THE IMPORTANT PART) offer a solution or make a suggestion. If you just write a letter to complain, that’s how you may be viewed – as a complainer.

If, on the other hand, you offer a solution or make a suggestion – or, in the above case, offer to participate in a solution – you have the chance to be seen as a leader and problem solver. If your solution is practical and cost-effective, you have hit potential gold. That is because people will stop and consider your solution. If they agree, they may comment or connect with you. If they don’t agree, they may comment or connect with you. Either way, a conversation is started.

And, you can include published letters to the editor in your credentials, too. You are published!

You have a voice – and an opinion. Use it in a productive manner and you may just change something in your sphere of influence for the better and build relationships with new people and new clients. Everyone benefits.

Pages at the Prop Business Edition

As an Indiana business founded by an Indiana business book author, AddressTwo is proud to sponsor a lunch and lecture event at the Indianapolis Propylaeum to highlight Indiana book authors. We have reached out to several business book authors we know and set up a few presenters in the coming months to share their business know-how with you. We wanted to share with you a little bit about the venue and the monthly event.

About the Venue

The Indianapolis Propylaeum (The Prop) is a beautiful venue in downtown Indianapolis. It’s a place where you can take a look back in the past while enjoying this lunch and a lecture about the future of business. Don’t worry, they do plenty of other events too such as weddings, meetings, and presentation events like ours. It’s a little piece of history heaven right in the middle of the busy city on Delaware and 14th Street.

About the Event

On the second Tuesday of every month a new featured author will be at the prop to discuss their book with the crowd. The agenda for the event is as follows:

11:30am: Arrival, networking, lunch served
11:45am-12pm: Program begins
12:45pm-1pm: Q&A, networking, and book signings

The Awesome Link between Writing Content and Personal Development

When the conversation turns to blogs and newsletters, small business owners look me straight in the eye and confess like I am their spiritual guide. Generally, they confess to three things:

1.       They don’t have time to write
2.       They don’t know how to write
3.       They don’t know what to write about

While I can’t provide a quick fix to items 1 and 2, I can offer a relatively timely solution for number 3. Although I see topics all around me and can’t seem to find the time to write about all of them, I do understand facing a blank sheet of paper or Word document on the screen and feeling stymied.

One of the easiest ways to find things to talk about comes on the heels of a simple suggestion from Jeff Olson in The Slight Edge. The Slight Edge is a remarkable book. Olson lays the groundwork of “Turning Simple Disciplines into Massive Success & Happiness.” If you haven’t read it, it’s worth the time investment.

The suggestion he gives that I want to share is to read 10 pages a day of something for personal
development. Ten pages to a non-reader may sound like a lot, to a voracious reader, not enough. But if you read 10 pages of something every day, you will be broadening your knowledge base and stirring up the little grey cells as Hercule Poirot calls them.

When you stir up the cells, you generate some thoughts and pretty soon, you want to talk about them. Voila! You have something to write about. In fact, you might find you have several things to write about.

Here’s a little tip. If you don’t capture them pretty quick, you will forget them and when faced with that blank page, you’ll be lamenting that you have nothing to write about. Think Post-it Notes. I think Post-it Notes were invented just for me – or at least for people LIKE me. (Actually Post-it Notes were a failed attempt at another invention, but obviously mistakes can be profitable, too.)

Anyway, a pad of Post-its and a pencil are your best friends. Jot a few words to anchor your thought and tab the page of the book. When it is time to write, grab your book and you are set. I have recently started using the Post-its with arrow points. I just aim it at the section, jot a word or two if needed and am ready to expand on it when the time comes.

The thing about reading and writing is that you share your thoughts about what the writer said and how you interpret it, what you think about it, or how you can use it. That becomes the basis of a conversation – which is what words, ready and writing are all about.

With that in mind, you will also find that certain people come to mind when you read something. Perhaps the content is something they could use or would be interested in as well. Copy the page and send it to them, or, share the book with them when you are finished – or, if it could be really significant, gift them with a book.

Stay in touch with your colleagues, clients and customers through the features of your CRM. (If you need help with that, talk to Troy at AddressTwo.) Use blogs, newsletters and sharing. If you have things to talk about, you have things to write about.

Are You Watching Sales Slowly Drift Into the Sunset?


Everyone enjoys the peace and calm of watching the sun set into the horizon (especially in Key West, right?). But when it’s sales that are drifting away, that’s not so enjoyable. In fact, it probably would rile you right up if you thought about it and realized it was happening right below your very nose.

If you have a list of emails and you aren’t using it, you are really missing the boat. (You are losing sales.)
And if you don’t have a list, well, your ship just hasn’t made it into the harbor yet. (You are losing sales.)

So, let’s work on that.

In Early to Rise, Michael Masterson says, “The money is in the list.” Now, just HAVING a list is not enough, it’s what you do with it that really matters (hint: build relationships).

No matter what you do with it, you first have to build a list. You want it brimming with prospects who are interested in what you have to offer, or who might one day be ready to buy from you. They are the people you send information about new products, events and what you offer. They are your buyers – or prospective buyers. So where do you find those people?

- You meet them as you network.
- They find you at your website.
 
- They connect with you on social media.
- Clients and partners refer them to you.

- They are your audience when you speak.


In other words, you find them and meet them everywhere you go. Now, you have to capture them. I have two good examples of how I capture them.

1) Business Card Meet and Greet – When I receive a business card from someone I have just met, I immediately enter them into my CRM and trigger a “Good to meet you, welcome to my life” series of emails. I introduce them to me, my website and blog and invite them to join me on social media.
2) When I speak I have cards (or a sign-up sheet) that I circulate and collect that allows the audience to sign up to get on my list, connect for a complimentary consultation about coaching, masterminds, events, etc.

A huge percentage of people get on my list and receive no less than my weekly emails (chock full of information, fun, and strategies). Others elect to subscribe to my newsletter or other programs offered. That’s great. But there is one opportunity that I am missing. I just discovered the idea and will be implementing it SOON. Chances are you are missing out on it, too.

Do you have an opt-in opportunity on EVERY PAGE of your website? I have one that pops up on my website, and it has been effective. But I just learned about the success someone has been having by offering a free gift (special report, checklist, or tickler) to opt into their list at the bottom of EVERY PAGE of her website.

She isn’t talking about that side bar opt-in, but a different opportunity that connects with the content on that particular page. For instance, in my case, one page on my website might be about Mastermind Groups. I could offer a list of “9 Reasons Millionaires Say a Mastermind Group Changes Your Life” as a special gift on that page. It gives more information about Mastermind Groups as well as providing the chance to get on the subscription list.

Of course, you have to have a CRM in which to accumulate and communicate with your list.

The point is, get busy with building and communicating with your list.
Even if you have doubts or are afraid of the water, grab a life vest and jump in. Get that list growing and there is the distinct possibility that someday you will be sailing off into the sunset with everything in life you love.
